1 Introduction

Welcome to Doneflow ("we", "our", "us"), operated by the owners of doneflow.me, an AI-powered productivity and study coaching platform based in Switzerland. We are committed to protecting your personal data and your right to privacy.

This Privacy Policy explains what information we collect, why we collect it, how we use it — including how it powers your AI coaching experience — and the choices available to you. It applies to all visitors and registered users of doneflow.me and any related services.

GDPR & nDSG compliance: If you are located in the European Economic Area (EEA) or Switzerland, your data is protected by the General Data Protection Regulation (GDPR) and the Swiss Federal Act on Data Protection (nDSG, revised 2023). We process your personal data only on the lawful bases described in this policy.

By accessing or using Doneflow, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy.

2 Data We Collect

2.1 Information You Provide Directly

  • Account information — When you sign in via Google OAuth2: your Google account name, email address, and profile picture.
  • Task data — The titles, descriptions, dates, and completion status of tasks you create in Doneflow.
  • Study streak & activity data — Your daily completion records, streak counts, and activity graph data.
  • Payment information — For Pro subscriptions, payment is processed entirely by Stripe. We do not store card details on our servers.

2.2 Information Collected Automatically

  • Log data — IP address, browser type and version, operating system, referring URL, pages visited, time and date of visits.
  • Device information — Hardware model, operating system, and unique device identifiers.
  • Cookies and tracking technologies — See Section 4 for full details.
  • Usage data — Interactions with the platform: tasks created, completed, or scheduled; insight cards generated or shared.

3 How We Use Your Data

We use the information we collect to:

  • Provide, maintain, and improve the Doneflow service
  • Authenticate your account and keep it secure
  • Generate personalized AI coaching insights based on your task history and patterns (Pro users)
  • Track and display your study streaks and activity graph
  • Process payments and manage your subscription
  • Send transactional emails (account activity, billing receipts)
  • Analyze aggregate usage to improve the platform
  • Comply with legal obligations

We do not sell your personal data to third parties. We do not use your task content for advertising purposes.

Lawful basis (GDPR): We process your data on the basis of contract performance (providing the service you signed up for), legitimate interests (improving the platform, security), and consent where required (e.g., optional sharing features).

4 AI Coaching & Your Data

4.1 How Your Data Powers AI Insights

Doneflow's AI coaching feature (available on Pro plans) reads your task titles, completion dates, streak data, and usage patterns to generate personalized daily or weekly coaching insights. This data is sent to a large language model API to produce your insight text.

4.2 Third-Party AI Providers

We use Anthropic (Claude API) to power AI coaching. Your task data is transmitted to Anthropic's API solely to generate your insight. We do not permit Anthropic to use your data for training purposes under our API agreement. Anthropic's data handling is governed by their Privacy Policy.

4.3 Shareable Insight Cards

If you choose to share an AI insight card to LinkedIn, Instagram, or X, the content of that card (your insight text, streak count, and task summary) will be shared publicly. Sharing is always opt-in and initiated by you. We do not share your data publicly without your explicit action.

4.4 Public Insight Board

Pro users may opt in to have their insight cards appear on Doneflow's public insight board. This is entirely optional. You can opt out at any time from your profile settings, and your cards will be removed from the board promptly.

Your task data stays private by default. Only you can see your full task list and history. AI insights are generated on your behalf and are not accessible to other users unless you explicitly share them.

5 Third-Party Services

Doneflow integrates with the following third-party services, each governed by their own privacy policies:

  • Google OAuth2 — Account authentication. Google Privacy Policy.
  • Stripe — Payment processing for Pro subscriptions. Stripe Privacy Policy.
  • Anthropic (Claude API) — AI insight generation. Anthropic Privacy Policy.
  • Cloudflare — CDN, DDoS protection, and DNS. Cloudflare Privacy Policy.

We use cookies strictly necessary for the platform to function (session authentication). We do not use advertising cookies or third-party tracking pixels. Doneflow is ad-free.

6 Data Retention

We retain your data for as long as your account is active or as needed to provide the service. Specifically:

  • Task data & streak history — Retained for the lifetime of your account to power your activity graph and AI insights.
  • AI insight history — Retained as part of your account (Pro users). Visible in your insight history panel.
  • Payment records — Retained for 10 years as required by Swiss law (CO Art. 958f).
  • Log data — Retained for up to 90 days for security and debugging purposes.

When you delete your account, all personal data (tasks, insights, streaks, profile) is permanently deleted within 30 days, except where retention is required by law.

7 Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you.
  • Rectification — Request correction of inaccurate data.
  • Erasure — Request deletion of your personal data ("right to be forgotten").
  • Portability — Request your data in a machine-readable format.
  • Restriction — Request that we restrict processing of your data in certain circumstances.
  • Objection — Object to processing based on legitimate interests.
  • Withdrawal of consent — Where processing is based on consent, you may withdraw it at any time.

To exercise any of these rights, contact us at legal [at] doneflow [period] me. We will respond within 30 days. You also have the right to lodge a complaint with your local supervisory authority (in Switzerland: FDPIC).

8 Children's Privacy

Doneflow is designed for students and is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with personal information, please contact us immediately and we will take steps to delete it.

Users between 13 and 18 may use Doneflow with the consent of a parent or guardian. By signing up, users in this age group confirm they have such consent.

9 Security

We take data security seriously and implement appropriate technical and organizational measures to protect your personal data, including:

  • TLS/HTTPS encryption for all data in transit
  • Encrypted storage for sensitive data at rest
  • Access controls limiting who can access production data
  • Regular security reviews and dependency updates

No method of transmission over the internet is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security. In the event of a data breach affecting your rights and freedoms, we will notify you and relevant authorities as required by applicable law.

10 Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (to the address associated with your account) and/or by displaying a prominent notice on Doneflow before the changes take effect.

The "Updated" date at the top of this page reflects when changes were last made. We encourage you to review this policy periodically. Continued use of Doneflow after changes take effect constitutes acceptance of the revised policy.

1 Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you and the operators of Doneflow ("we", "us", "our"), governing your access to and use of doneflow.me and all related services (the "Service").

By creating an account or using the Service in any way, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, you must not access or use the Service.

Age requirement: You must be at least 13 years old to use Doneflow. Users between 13 and 18 require parental or guardian consent. By using the Service, you confirm you meet these requirements.

2 The Service

2.1 What Doneflow Provides

Doneflow is an AI-powered productivity and study coaching platform for students. It enables you to track tasks, monitor completion streaks, visualize your activity over time, and (on Pro plans) receive personalized AI-generated coaching insights.

2.2 Service Availability

We aim to maintain high availability but do not guarantee uninterrupted access. We may suspend or modify the Service at any time for maintenance, security, or business reasons. We will endeavour to provide advance notice of planned downtime where practical.

2.3 Free vs. Pro

Doneflow offers a free tier with core task tracking features and a paid Pro tier that unlocks AI coaching insights, shareable insight cards, and additional features. Feature availability may change over time with notice to users.

3 User Accounts

3.1 Account Creation

Accounts are created via Google OAuth2. By signing in, you grant Doneflow access to your Google name, email address, and profile picture for the purpose of creating and maintaining your account.

3.2 Account Responsibility

You are responsible for maintaining the security of your account. You agree to notify us immediately of any unauthorised access at legal [at] doneflow [period] me. We are not liable for any loss resulting from unauthorised use of your account.

3.3 One Account Per Person

Each person may hold one active Doneflow account. Creating multiple accounts to circumvent free tier limits or access restrictions is prohibited and may result in account termination.

3.4 Accurate Information

You agree to provide accurate information and to keep it current. Accounts using false or misleading information may be suspended or removed.

4 User Content

4.1 Your Content

Doneflow allows you to create tasks, notes, and (on Pro plans) share AI-generated insight cards. You retain full ownership of your content. By using the Service, you grant us a limited, non-exclusive licence to store, process, and display your content solely to provide the Service to you.

4.2 Content Standards

Content you create or share through Doneflow must not:

  • Violate any applicable law or regulation
  • Be defamatory, harassing, abusive, or threatening to any person
  • Infringe the intellectual property rights of any third party
  • Contain malware, spam, or any harmful code
  • Misrepresent your identity or affiliation

4.3 Shared Insight Cards

If you opt to share an AI insight card publicly (via social media or the Doneflow public board), you are responsible for ensuring that shared content complies with these standards and the terms of the platform you share to. We reserve the right to remove publicly shared content that violates these Terms.

5 Acceptable Use Policy

You agree not to use the Service to:

  • Violate any applicable law, regulation, or third-party rights
  • Attempt to gain unauthorised access to any part of the Service or its infrastructure
  • Interfere with or disrupt the integrity or performance of the Service
  • Use automated tools, bots, scrapers, or crawlers without our prior written consent
  • Attempt to reverse-engineer, decompile, or extract source code from the Service
  • Impersonate any person or entity, or misrepresent your affiliation
  • Circumvent or interfere with any security or access-control feature of the Service
  • Use the Service for any commercial purpose not expressly authorised by us
  • Attempt to manipulate AI-generated content in a way that misleads other users

Violations may result in immediate account suspension or termination and, where appropriate, referral to law enforcement authorities.

6 Intellectual Property

6.1 Our Content

The Service and its original content, features, functionality, design, branding, imagery, and code are and will remain the exclusive property of Doneflow and its licensors. Our trademarks and trade dress may not be used without our prior written consent.

6.2 User Licence

Subject to compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the Service for your personal, non-commercial purposes.

6.3 AI-Generated Insights

AI coaching insights generated by Doneflow on your behalf, using your data as input, are provided for your personal use. You may share these insights as permitted by these Terms. We make no intellectual property claims over the content of your AI insights.

6.4 Feedback

Any suggestions or feedback you provide grant us an unrestricted, irrevocable licence to use and incorporate that feedback without compensation to you.

7 Subscriptions & Payments

7.1 Pro Subscriptions

Doneflow offers an optional Pro subscription that unlocks AI coaching features. Subscriptions are processed via Stripe. By purchasing a subscription, you also agree to Stripe's Terms of Service.

7.2 Billing

Pro subscriptions are billed monthly in advance on a recurring basis. Prices are displayed in the applicable currency at checkout and include any applicable taxes.

7.3 Cancellation & Refunds

You may cancel your Pro subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period — you retain Pro access until then. No refunds are provided for partial billing periods, except where required by applicable law.

7.4 Price Changes

We reserve the right to change subscription prices with 30 days' notice by email. Continued use of a Pro subscription after the effective date constitutes acceptance of the new price.

7.5 Swiss & EU Consumer Rights

Consumers resident in Switzerland or the EU may have additional statutory rights, including withdrawal rights, under applicable consumer protection laws. Nothing in these Terms limits such rights.

8 AI Features — Important Notes

Doneflow's AI coaching feature provides personalized productivity insights based on your task data. By using AI features, you acknowledge:

  • AI insights are generated by a language model and may not always be accurate, complete, or appropriate to your situation
  • AI coaching does not constitute professional advice of any kind — academic, psychological, medical, or otherwise
  • AI insights are meant to support and motivate you, not replace your own judgment or professional guidance
  • The quality of insights depends on the quantity and detail of tasks you track
  • Insight generation may occasionally fail due to service availability; we will not charge for failed requests
Not a substitute for professional support. If you are experiencing serious academic difficulties, mental health challenges, or other significant issues, please seek appropriate professional help. Doneflow is a productivity tool, not a counselling or therapeutic service.

9 Disclaimers & Warranties

The Service is provided on an "as is" and "as available" basis, without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

We do not warrant that the Service will be error-free, uninterrupted, or free from harmful components. AI-generated coaching content is provided for motivational and productivity purposes only and may not be accurate for every user or situation. Some jurisdictions do not allow the exclusion of implied warranties, so some exclusions may not apply to you.

10 Limitation of Liability

To the fullest extent permitted by applicable law, Doneflow and its owners, operators, employees, and licensors shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of study progress records, or other intangible losses arising from your use of or inability to use the Service.

Our total liability for any claim arising out of or relating to these Terms or the Service shall not exceed the greater of (a) CHF 100 or (b) the total amount you paid us in the 12 months preceding the claim.

Swiss law note: These limitations apply to the extent permitted under Swiss law (CO Art. 100). Nothing in these Terms excludes liability for gross negligence, wilful misconduct, or personal injury caused by our actions.

11 Termination

We may suspend or terminate your account and access to the Service immediately and without notice if we reasonably believe you have violated these Terms or any applicable law. Upon termination, your right to access the Service ceases immediately. Active Pro subscriptions will not be refunded for remaining periods unless required by applicable law.

You may close your own account at any time from your account settings or by contacting us. Upon account deletion, your data will be removed in accordance with our Privacy Policy (Section 6). Provisions of these Terms that by their nature should survive termination will continue to apply.

12 Governing Law & Dispute Resolution

12.1 Governing Law

These Terms are governed by and construed in accordance with the laws of Switzerland, without regard to conflict of law provisions. The UN Convention on Contracts for the International Sale of Goods does not apply.

12.2 Jurisdiction

Any dispute shall be subject to the exclusive jurisdiction of the courts of Zurich, Switzerland, unless mandatory consumer protection laws in your country of residence grant you the right to bring proceedings in your local courts.

12.3 EU/EEA Consumers

If you are a consumer resident in the EU/EEA, you may also use the EU Online Dispute Resolution platform to resolve disputes.

12.4 Informal Resolution

Before initiating formal legal proceedings, we encourage you to contact us directly. We will make good-faith efforts to resolve any dispute within 30 days of your written notice.
